Playfair Scotland and Balfour Beatty plc – Consultation Site Privacy Policy

We, Playfair Scotland, as well as Balfour Beatty, are collecting your data and reviewing, and storing it for the purposes of completing a public consultation process (the “Consultation”) as part of an application for planning permission in relation to the development of the project site at 140 Causewayside.

This privacy policy will explain how we will use the personal data we collect from you in connection with the Consultation. Please note that we operate multiple consultation websites often for the same developers across a broad varity of projects and applications and consultations, you should refer to the policy and its partners on the site in relation to that specific consultation.

We reserve the right to amend this privacy policy to reflect changes to our business, website or to data protection legislation. You should therefore revisit this privacy policy on a regular basis to ensure you are familiar with its terms.

We keep this privacy policy under regular review and will place any updates on this web page.

Playfair and any partner organisations named above that encompass the consultation team are joint Data Controllers in relation to the data collected in connection with the Consultation. We, Playfair, will be your main point of contact in relation to use of your data in connection with the Consultation and will manage all engagement with you on our own behalf and on behalf of the consulation team. When we refer to “we” in this Privacy Policy, we are referring to Playfair.

The partnership team has been assemebed to conduct the Consultation and will receive information about your response to the Consultation.

The partnership team will also form part of the panel hosting the virtual & live consultation event taking place and, as such, will have access to any personal data that is voluntarily shared by participants using the web chat facility, consultation feedback form, email account, phone number or any other means of recorded correspondence for that event. 

Your data is collected on a voluntary basis and will only be viewable by the consolation event team and used for proposes in relation to the consultation, you have the right to request information on what data is held you and the right to request its destruction, please the section at the bottom of this page for the contact information of the data protection officer.

How do we collect and use your data?

You will directly provide most of the data we collect.  The consultation partnership team lead by Playfair will collect data and process data when you:

  • Voluntarily provide feedback on any of our chat windows, via our online feedback form or via email.
  • Use or view our website via your browser’s cookies.
  • Use a website chat conversation.
  • Undertake phone conversations with us.
  • Emails or letters you send to us.
  • Registering for one of our events.
  • Use our online services such as websites, social media and mobile device applications (‘Apps’).

Personal data collected

Personal data means any information about an individual from which that person can be identified. It does not include any data which has been anonymised such that a person’s identity is removed.

We collect the personal data you give us when you engage through the live web chat facility on this website, within the consultation feedback forms you submit, when you email us, contact us and when requesting information. This information is likely to include:

Purpose/ legal basis for collection of personal data

We The consultation team lead by Playfair Scotland are collecting your personal data for the purposes of completing a public consultation process as part of the virtual and public consultation event.

We will use your personal data for the purposes of collating a report on responses to the Consultation, which will only be shared on an anonymised basis as explained below. We will also use your personal data to contact you in relation to comments and feedback you have provided in relation to the Consultation, if necessary, and to facilitate your participation in the consultation event taking place in person.

It is in our legitimate interests and those of Balfour Beatty to collect your personal data as it provides us and them with the information that we need to keep accurate records of your participation in the Consultation, and so that we can contact you to clarify or respond to your comments.

How long do we keep this data?

Your personal data will be securely retained until the planning application and/or planning appeal has been fully determined and then your personal data will be securely deleted.

Who has access to this data?

The consultation team lead by Orbit will collect and store and distribute among the consultation team as required in the process all personal data submitted as part of the consultation.

Comments and feedback provided as part of the consultation will be received directly by Orbit and the consulation team Balfour Beatty. 

Your Feedback may also be shared with the Planning Authority (as part of the planning application process) on an anonymised basis only.

Representatives from Balfour Beatty and their consultant team will be at the consultation event taking place and, as such, will have access to any personal data that is voluntarily shared by participants using the feedback functionality and paper forms for that event.
